Associate Registrar
(Associate College Registrar - SL-4)

Areas of responsibility include:

Description:

  1. Assist with the management of the operational, administrative and personnel aspects of the Office of the Registrar.
  2. Serve as the Registrar in the absence of the Registrar.
  3. Lead and participate in the daily operations of the office, which provide essential services for student registration and records management.
  4. Assist in the development of policies and procedures related to student enrollment, registration, academic policies and student records.
  5. Implement policies and procedures approved by the faculty.
  6. Supervise all aspects of the maintenance, accuracy, and confidentiality of all student academic records.
  7. Oversee semester grading processing, transcript issuance, licensure form completion and all document processing.
  8. Supervise the semester on-line registration for all colleges.
  9. Oversee new student in-person registrations.
  10. Design and implement registration systems and procedures.
  11. Coordinate medical student clerkship, hospital site and elective lotteries.
  12. Oversee distribution of accurate student lists, composite photos and class rosters.
  13. Manage and implement all aspects of course scheduling and hospital site placement for third and fourth year clerkships and electives.
  14. Manage all aspects of compiling the Course Selection Book for medical students, including contacting and following up with all faculty offering electives in both in-house and at our affiliate hospitals.
  15. Responsible for soliciting and obtaining approval for new electives.
  16. Maintain and continue to develop the student information system for the Office of the Registrar.
  17. Develop guidelines for data integrity checking and maintenance.
  18. In conjunction with the Document Imaging coordinator, develop and implement procedures for day-to-day document imaging to progress to a paperless environment.
  19. Assist with the maintenance of the Office of the Registrar website, including reviewing content and updating and posting relevant timely information.
  20. Manage all student aspects of Commencement, including but not limited to, production of graduation handbooks, on-line application, student correspondence for cap and gown ordering, oversee ordering of diplomas.
  21. Oversee the continued development and execution of the graduation audit module, Curriculum and Program Planning (CAPP), in the Banner Student Information System.
  22. Other duties as assigned by Registrar or the Vice President of Student Affairs.

Qualifications

Bachelor's degree in a related field and work experience at a level that equates to the advanced degree. Three or more years of progressively responsible experience in a Registrar's Office, or relevant college administrative office. PREFERRED: A Master's degree in Higher Education and Information Systems, or an area relevant to the position.
